Microsoft Teams Legal Hold

Note visible to the user: Use this field to inform the user that their mailbox is on litigation hold. The hint appears on the Account Information page in the user`s mailbox if the user is using Outlook 2010 or later. To access this page, users can click File in Outlook. In the Create New Hold window, enter a name for the suspension case, for this example we use Project Lunch. Then, select the group mailbox associated with the team by clicking the plus sign (+). The balance of the content search and retention process is similar to finding and storing the content of email messages that Office 365 admins and compliance admins are typically familiar with. As business productivity applications, legal technology, and compliance requirements evolve, Microsoft and other third-party software vendors continue to improve the tools and methodologies available to consistently retain data for legal retention. Over time, companies often manage data preservation using multiple solutions from different processes and technologies. When you put a user on hold, a group is not automatically put on hold, or vice versa. Notifications sent in activity feeds cannot be deferred. When a user or group is put on hold, all compliance copies of messages are retained. For example, if a user posts a message to a channel and then edits the message, both copies of the message are retained. Without the hold, only the most recent message is retained.

Create a query. You can adjust the suspension if you want more granularity in the retention policy. For example, you can specify keywords to search for or add additional conditions that must be met for the suspend state to take effect. In the eDiscovery Center, click the Pause tab at the top. When an entire team is put on hold, all messages exchanged within that team, including private channels, can be recognized by the organization`s administrators or compliance officers. To put a user or team on legal hold using Security & Compliance Center: Items permanently deleted by the user are retained in the Recoverable Items folder in the user`s mailbox for the duration of the retention. Note: This queues created content, such as Scheduler, files, and so on, within the Office 365 group associated with the team. Note This will delay IM conversations that occur within the Microsoft team. You can place a mailbox on litigation hold to preserve all the contents of the mailbox, including deleted items and the original versions of changed items. When you place a user mailbox on litigation hold, the contents of the user`s archive mailbox (if enabled) are also preserved. When you create a hold, you can specify a retention period (also known as time-based retention) so that deleted and changed items are retained for a specified period of time and then permanently deleted from the mailbox. Or, you can simply keep the content indefinitely (known as infinite locking) or until the case suspension is lifted. If you specify a retention period, it is calculated from the date a message is received or a mailbox item is created. Step 3: Once the case is created, go ahead and open it. Go to the Hold tab in the top menu and click Create to create a hold. Enter the farm name and description, and then click Next.

When a store associated with an eDiscovery case is placed on a mailbox, the deleted items are moved from the Deletes subfolder to the DiscoveryHolds subfolder and retained until the mailbox is released from the eDiscovery store.
